Just Sort It — Privacy Policy

1. Who we are
This Privacy Policy explains how Adam Sellar (ABN 65 797 489 246), a sole trader operating the Just Sort It gift concierge service ("Just Sort It", "we", "us", "our"), handles personal information.
We're committed to handling personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). We follow these principles as a matter of practice, whether or not we're strictly required to.

2. A note on whose information this covers
Just Sort It is a little unusual: as a member, you'll tell us about your partner so we can get their gifts right. That means we hold information about two kinds of people — you (the member), and the person you're buying gifts for, who hasn't signed up themselves.
The same is true before you join. If you have a conversation with Evie on our website, you may tell us about your partner while you're still deciding whether to sign up at all. We hold that conversation too — see section 3.
We treat all of it carefully. If you're someone a member has told us about and you'd like to know what we hold, or have it corrected or deleted, see section 9 — just get in touch and we'll help.
3. What we collect
From you, the member:
- your name and email address;
- your phone number, if you give it to us (for future text-message updates);
- the dates and occasions that matter to you;
- your budget choices and gift approvals; and
- records of your conversations with us, so we can pick up where we left off.
About your partner, provided by you:
- their name;
- notes on what they're into and how they like things — based on what you tell us;
- important dates; and
- any photos you choose to share to help us understand their taste.
From anyone who chats with Evie on our website, member or not:
- what you type into the chat, and what Evie replies — including anything you tell us about your partner;
- your email address, if you give it to us;
- basic technical details about the visit: which link or ad brought you here, the page address, your browser's user-agent string, and a randomly generated session identifier used to keep one conversation together.
We keep these conversations so we can pick up where you left off if you come back, so we can answer you properly if you get in touch, and so we can see where the service is confusing or unhelpful and fix it. We keep them whether or not you go on to become a member. Photos shared in a chat are used to understand taste in the moment and are not kept in our conversation records.
Payment information: handled by Stripe (see section 5). We don't see or store your full card number.
From the website: basic information about how you found us and use the site (including campaign tags in the links you click, and standard analytics). See section 8.
We don't ask for sensitive information (like health, race or religion), and we'd rather you didn't send it. If a conversation drifts somewhere personal, you can ask us to delete it — see section 9.
4. How we use it
We use this information to run the service for you — that is, to:
- remember your occasions and plan ahead;
- suggest specific gifts that suit your partner;
- write cards in your words;
- arrange ordering and delivery;
- send you the occasional between-occasion suggestion, and answer you when you message us;
- process your membership and gift payments;
- let you know about your account and respond to your questions; and
- understand how people use the site and where the service falls short, so we can improve it.
We don't sell your information, or your partner's, to anyone. Ever.
5. Who we share it with
We use a small number of trusted service providers to run Just Sort It. They only get the information they need to do their part, and only to provide the service to you:
- Stripe — processes membership and gift payments securely. Handles card details so we don't have to.
- Cloudflare — hosts our website and the software behind Evie, and stores the record of conversations held with Evie on the site (in Cloudflare's D1 database service). Cloudflare also provides standard protection against attacks and abuse.
- Airtable — securely stores member and partner profiles and our records.
- n8n — runs the behind-the-scenes automation (reminders, messages and the like).
- Anthropic — provides the technology that powers our assistant, Evie. Information from your intake conversation and your partner's profile is processed to generate gift suggestions and message wording.
- Microsoft Clarity — website analytics, including recordings of how pages are used, so we can see where the site is confusing. See section 8.
- Meta (Facebook and Instagram) — measures how our advertising performs. See section 8.
- Resend — sends our service and update emails on our behalf.
- Gift suppliers and retailers — receive the recipient's name and delivery address so they can fulfil and deliver a gift you've approved.
We may also, in future, use:
- Twilio — to send text-message (SMS) updates, if you've given us your number.
We may engage additional or replacement service providers from time to time as the service grows (for example, moving to a different data-storage provider). Where we do, we'll hold them to standards consistent with this policy.
6. Information stored or processed overseas
Some of our service providers are located, or store information, outside Australia (including in the United States and other countries). By using the service, you acknowledge that your information — and the information you provide about your partner — may be stored or processed overseas. We take reasonable steps to ensure these providers handle information consistently with the Australian Privacy Principles.
Where we can choose, we prefer Australian or Oceania-region storage: our conversation records are held in Cloudflare's Oceania region.
7. Marketing, and how to opt out
We'll send you service messages needed to run the service — things like gift approvals, delivery updates and account notices. These aren't marketing, and they're part of being a member.
We may also occasionally send you marketing emails. You can opt out any time using the unsubscribe link in the email, or by emailing privacy@justsortit.au, and we'll stop.
8. The website, cookies and analytics
Our website uses cookies and basic analytics to understand where visitors come from (including the campaign tags in links) and how the site is used, so we can improve it. You can control or block cookies through your browser settings; some parts of the site may not work as well if you do.
Specifically, we use Microsoft Clarity, which records how pages are used — clicks, taps, scrolling and general navigation — so we can see where the site is unclear. We also use Meta's advertising tools to measure how our ads perform, which involves telling Meta when certain things happen on the site (for example, that someone opened the chat). Where those tools would otherwise capture text you have typed, we ask them to mask it.
9. Accessing, correcting or deleting information
You can ask us to access the information we hold about you, correct it if it's wrong, or delete it. If you're a member, that includes the profile you've built with us. If you had a conversation with Evie and never signed up, you can ask us to delete that conversation — you don't need an account to ask. If you're the partner of a member and want to know what we hold about you, or want it corrected or removed, contact us and we'll help.
Just email privacy@justsortit.au. We'll respond within a reasonable time, and there's no charge for a straightforward request.
10. Keeping information secure
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access — including limiting who can see it and relying on reputable providers like those listed above. Payment card details are handled by Stripe and aren't stored by us. No system is perfectly secure, but we take it seriously.
11. How long we keep it
We keep your information for as long as you have an account with us, and for a reasonable period afterwards to meet our legal and operational needs, then we delete or de-identify it.
Conversations with Evie from people who don't become members are kept for up to 12 months, so we can pick things up if you come back and so we can see where the service falls short — then they're deleted. You can ask us to delete yours sooner at any time (section 9).
12. Children
Just Sort It is for adults. The service isn't directed at anyone under 18, and we don't knowingly collect information from children.
13. Complaints
If you have a concern about how we've handled your information, contact us first at privacy@justsortit.au — we'll take it seriously and try to put it right. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
14. Changes to this policy
We may update this Privacy Policy from time to time. The current version is the one published at justsortit.au. If we make a material change, we'll let you know by email or on the website.
